When We Say No to a Project: An Agency Filter

We turn down a surprising number of projects. It isn’t an ego thing. It is a filter born from two decades of experience building websites and digital marketing campaigns for Seattle-area businesses.

Our senior-only team model only works when we are selective. Taking on a bad-fit project is a disservice to the client and a drain on our team. We prefer to identify a mismatch early, save everyone the headache, and part on good terms. Sometimes, the best advice we can give a potential client is to recommend a different agency or a freelancer.

This isn't about being exclusive. It's about being effective.

Are You a Good Fit For Our Process?

We are a process-driven studio. Our methods for strategy, design, development, and launch are proven, refined over hundreds of projects for clients from Bellevue to Tacoma. Those processes require trust, communication, and collaboration.

Some clients want a vendor who just takes orders. We are not that. Our value is in our strategic guidance. We challenge assumptions and push back on ideas that won’t serve the project’s goals. If you see an agency as a pair of hands to execute your prescriptive plan, we are not the right fit for you.

Is the Project a Good Fit For Our Skills?

Our team thrives on complexity. We specialize in custom web design, complex integrations, and technical SEO for established businesses. We are not the right choice for a simple five-page brochure website. A talented junior freelancer can build that for you at a much lower cost, and they should.

We recently rebuilt a complex B2B portal for a Seattle tech firm, integrating it with three different APIs. That’s our sweet spot. A project without clear business objectives, or one where a template would suffice, is better handled by another kind of team.

We focus on work that generates a measurable return for our clients. If you can't articulate what success looks like, we can help you figure it out. But if the goal is purely aesthetic and disconnected from business results, we will likely pass.

What Are the Red Flags?

We have learned to spot the warning signs that a project is not destined for success. If we see them during our discovery calls, we politely decline.

  • Unclear Decision-Making. If we can’t identify a single point of contact empowered to make decisions, we see a "design by committee" nightmare on the horizon. Progress stalls when feedback is contradictory and every choice requires a consensus.
  • Unrealistic Expectations. An Amazon-level eCommerce experience will not be built for $10,000. We are upfront about costs and timelines. If a client’s budget and schedule are disconnected from the reality of their request, we know it will end in disappointment.
  • Lack of Trust. Some prospects treat the discovery phase as a game of "gotcha," withholding information to see if we ask the right questions. We need an open, honest partnership. A client who treats the agency as an adversary is not a client we can help.
  • Dictating the Solution. We once had a prospective client, a Tacoma-based logistics company, that insisted on using a specific, outdated Drupal version because their nephew said it was best. We tried to explain the security and performance benefits of a modern alternative. When they refused to consider our strategic advice, we bowed out.
Our job is not to do what you ask. It is to understand what you need and deliver a solution that achieves it. That process requires trust and partnership.

Saying no is a critical part of our strategy. It keeps our team focused on projects where we can deliver immense value. It ensures our clients are partners who respect our expertise. And it results in a portfolio of successful work and a roster of happy, long-term clients.
